ADMINISTRATIVE OPERATIONS COORDINATOR

Position Available Immediately.

The Administrative Operations Coordinator (AOC) is a key member of the Operational Staff for Victory Gardens Theater. As such, the AOC is responsible for maintaining a smooth running front office which includes some phone answering. Primary areas of responsibilities include rentals; financial management; hr/company management.

The AOC works Mondays through Fridays, and is the key building staffer to supervise any building-related issues that arise.

The AOC is an exempt position that reports to the Managing Director and Director of Finance. This is a salaried position with health benefits and vacation.

Duties & Responsibilities:

  • Space Rentals: Along with the Managing Director, the AOC will build rental programming; tasks include drafting and negotiating agreements for short term rentals, coordinating billing for space rental, and coordinating event details with Front of House and Production.
  • Finance: Reconcile the daily box office, concessions and merchandise reports; reconcile monthly bank statements; prepare bank deposit slips for all deposits; prepare weekly settlements for renters; prepare weekly royalty statements; manage bulk mail accounts.
  • HR /Company Management: Prepare actor and designer contracts; process weekly payroll paperwork, file tax paperwork with Director of Finance, coordinate travel arrangement for out of town artists.
  • Operations: Answer the general administrative phone line, maintain spacebook, schedule meetings, and order office supplies.

Qualifications: College Degree or Equivalent. 2-3 years management/supervisory experience preferred. Impeccable customer service skills, pleasant and calm demeanor is essential. Marketing and bookkeeping experience a plus. Candidates must possess excellent written and verbal communication skills and must be able work on a variety of projects and be able to quickly change focus. Proficiency in all Microsoft Office programs is a requirement.

DIRECTORS INCLUSION INITIATIVE

The Directors Inclusion Initiative at Victory Gardens is a program aimed at encouraging and nurturing emerging artists of color and disability, and women who are interested in stage direction.

Each year, Victory Gardens accepts applications, performs interviews, and places early-career directors on one of our five main stage productions as the assistant director with access to mentorship by our staff. There will be a modest stipend.

MANAGING DIRECTOR

Victory Gardens Theater is currently accepting applications of qualified persons for the position of Managing Director.

Position Summary:
Victory Gardens Theater is seeking a strategic, entrepreneurial and collaborative leader who will further our mission to present new plays and build new diverse audiences while ensuring the Theater’s long term financial viability. The Managing Director reports to the Board of Directors and works in close partnership with the Artistic Director. The MD acts as Chief Operating/Revenue/Administrative Officer, overseeing and directing the Development, Marketing, Audience Development, Facilities/Operations, Educational Outreach and General Management/Business Management efforts of the theater. The MD works with the Executive Committee of the Board on long range planning. The MD prepares the annual budget and works to maximize the income potential of Victory Gardens’ activities. The MD represents Victory Gardens in the community and among funders. The MD also negotiates a variety of contracts.

Qualifications:

  • Bachelor’s degree
  • Five or more years of experience in theatre management and arts administration
  • Senior organizational leadership experience in arts administration, including responsibility for preparing and managing a significant budget
  • Demonstrated ability to develop strategic plans that align with an organization’s mission and vision
  • Prior success in audience development, fund raising, marketing, and donor development
  • Demonstrated ability to build and maintain strong relationships with donors, audience members, the arts community and internal stakeholders (staff and board)
  • Strong people skills and ability to inspire and develop internal staff
  • Passion for the arts

CARPENTERS

Victory Gardens is seeking resumes to fill our carpenter positions for the ‘15-’16 season. We are looking for individuals who are detail oriented, able to provide basic hand tools and are able to be called on for various shop hours or load in dates for our show builds.

Qualified Candidates should posses;

  • General carpentry skills
  • An ability to give attention to the details
  • A positive attitude
  • Proficiency in carpentry and welding
  • A willingness to assist load-in and strike of set and scenic pieces
  • Must be able to lift 75 lbs and be comfortable working at heights

ELECTRICIANS

Victory Gardens is seeking resumes to fill our electrician positions for the ‘15-’16 season. We are looking for individuals who are detail oriented and are able to be called on for various load in and focus dates for our shows.

Electrician qualifications:

  • Assist Master Electrician with hang, circuit and focus of lighting equipment
  • Ability to understand and interpret a lighting plot
  • Comfortable working on ladders and at heights
  • Experience with lighting control consoles a plus
  • Must be able to lift 50 lbs

STAGE MANAGEMENT INTERNS

We’re always looking for Stage Management Interns. Interns will assist the production stage manager for the duration of the rehearsal process as well as the run of the show. Interns will interact with directors, designers, as well as members of the administrative staff. In addition, interns will learn the skills necessary to maintain day-to-day operation of the technical departments of the theater. Interns must have a strong, varied background of technical theater and experience in stage management. PLAY SUBMISSIONS

Victory Gardens Theater accepts full-length scripts year-round from literary agents and theater professionals with whom we have an existing professional relationship. Mailed copies of scripts are welcomed, though we encourage electronic pdf or word doc submissions if at all possible. A member of the Literary department will respond to submissions once they have been read and processed.

OUT OF TOWN ACTORS

Victory Gardens is only interested in auditioning actors who plan to relocate to Chicago in the near future. Our mission is to provide jobs for Chicago theater artists. If you are an Equity actor visiting from out of town and are planning on relocating, you are welcome to request an audition appointment by e-mail or inquiry letter. Auditions are scheduled on a time-available basis. There may be times that we are not able to accommodate an audition, but we will do our best.
